Position Summary
The Office Manager will oversee day-to-day office operations, manage our CRM system, and ensure exceptional client experiences. This role requires an organized, detail-oriented professional who can coordinate schedules, enhance customer service processes, and optimize office efficiency. Experience in residential services, tree care, or landscaping industries is a plus.
Key Responsibilities
CRM Management & Data Integrity
- Oversee and maintain the company’s CRM system to ensure accurate and up-to-date client data.
- Regularly update customer information, service history, and lead management details.
- Analyze CRM data to provide insights for sales, scheduling, and marketing initiatives.
- Train staff on CRM usage and troubleshoot system issues.
Customer Service & Client Communication
- Act as the primary point of contact for client inquiries via phone, email, and in-person.
- Manage client scheduling and coordinate with field teams to ensure seamless service delivery.
- Oversee client communications, including reminders, follow-ups, and satisfaction surveys.
- Address and resolve client concerns promptly.
Office Operations & Administration
- Manage daily office functions, including inventory management, filing systems, and supply orders.
- Support HR processes, including onboarding new employees and maintaining personnel records.
- Implement systems to improve office efficiency and align with company goals.
- Organize incoming and outgoing mail to maintain documentation accuracy.
Billing & Financial Support
- Collaborate with the finance team on invoicing, payment tracking, and billing inquiries.
- Assist with payment processing and follow up on outstanding invoices.
- Prepare reports on customer service metrics, office performance, and financial updates.
Team Collaboration & Support
- Serve as a liaison between office staff, sales teams, and field crews for coordinated operations.
- Assist with planning team meetings, training sessions, and company events.
- Support process improvement initiatives to enhance operational efficiency and client satisfaction.
Qualifications
- Proven experience in office management, customer service, or administrative roles.
- Experience in residential services, tree care, or landscaping industries is a plus.
- Proficiency in CRM software and Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills, time management, and multitasking abilities.
- Excellent verbal and written communication skills with a focus on client satisfaction.
- Familiarity with billing, invoicing, and basic financial processes preferred.
